Hunting for an event space can be a daunting task. “This space has that, but that one has this.” There’s always a compromise that needs to be made. Deciding what and where to compromise is the key to finding the perfect venue.
Step 1 – Organizing your event
- How many people?
- When is your event? Date/time?
- What will you need in the space? Kitchen, dance floor, elevator?
- What is your venue budget?
- Where? Do you need a certain part of the city? Consider parking and transit options.
Step 2 – Prioritizing your event needs
After you’ve answered the 5 questions above, the next step is to prioritize them. List them from 1 to 5 and be tough! You need to think about where you can compromise and what is most important for the event.
How set on the dates are you? If you’re pretty flexible, rate that at a 5. What’s your budget like? If it’s really tight, rate it a 1. Do you need a kitchen or can you have caterers manage the food and beverage? Is your invite number set or can you bump 10 of those acquaintances off the list?
Once you’ve made the priority list from 1 to 5, organizing your absolute requirements to your areas of flexibility. You’ll see a much clearer picture of the space you’re looking for. This will narrow your hunt and stop you spending aimless hours searching. Event locations are a lot like life: you may not get everything you ever dreamed of, but if you determine your needs and prioritize correctly you can come pretty close!
